Working in a multidisciplinary team and under general direction, the Events Officer will work to the Events Manager to deliver the Digital Transformation Agency’s flagship annual events, the Digital Summit, and the Australian Government Digital Awards (the Summit).
The Events Officer will assist in the planning, co-ordination, and delivery of the Summit while contributing to a responsive and high performing service culture across the DTA. Extensive internal liaison will be required within the DTA, to ensure a co-ordinated and consistent approach to events. This will involve event planning, on the day organisation, the development of content (across web, social and print collateral), event promotion, design and delivery, and post-event evaluation. The position involves a combination of administrative and non-administrative tasks and will require virtual event and hybrid event delivery.
The position may also require occasional weekend and evening work around the Summit event (10-19 November), in line with the duties described in this role.
Responsibilities include:
• Act as a point of contact for the DTA’s Digital Summit and working with the DTA’s Content and Brand, Communications, Procurement, and Governance teams (and other teams, where relevant) to develop and deliver event activities.
• Undertaking event planning and preparation, including but not limited to, aiding in the sourcing of suppliers and speakers and responding to event enquiries.
• Liaising with relevant teams within the DTA to assist in the development of content (for web, social, printed material).
• Ensuring timely information and records management, including maintaining event related databases, such as processing and monitoring of event RSVP’s and maintaining up-to-date guest/attendee lists.
• Supports events team with on-site/live support at events/event recording, including set-up and pack down.
• Developing and collating evaluation reports and undertaking post-event activities.
• Using a project management approach, supports end-to-end delivery of events as required.
• Establish and maintain strong internal networks in DTA, to ensure a coordinated, consistent and integrated approach to event delivery.
• Provide a high-level of client service for the delivery of events.
• Other duties as outlined by the Events Manager.
Key Position Capabilities:
• Demonstrated experience in undertaking event activities and/or relevant qualifications.
• Knowledge of event and marketing planning and delivery processes and techniques to achieve required objectives within scope and budget.
• Experience providing high quality internal and external customer service in supporting the administration, planning, delivery and review of promotional activities and events.
• Demonstrated strong computer skills, especially a sound knowledge of Microsoft office package and a basic understanding of database principles.
• Demonstrated organisational time management skills with the ability to work with/without supervision according to defined priorities, meet deadlines and take initiative where required.
• Demonstrated ability to work across multiple projects and maintain high-level of detail and prioritize where required.
• Well-developed and demonstrated interpersonal and written communication skills including the ability to communicate with a range of stakeholders through a variety of channels.
