Bayside Council has multiple bookable facilities (venues, events, assets etc.) which are available for use by the public and to internal staff. The volume and variation of these bookable facilities with flexible fees and charges structures create challenges for Council to provide a high standard and seamless booking experience for the customer.
It also creates challenges for Council staff to administer and manage multiple bookings using the current systems and processes.
In its current state, the technology ecosystem at Bayside Council comprises of multiple booking systems and manual processes used by various departments to meet their individual unique booking needs.
This presents various challenges to the organisation including but not limited to:
* Maintenance of multiple applications/duplicating effort
* Multiple sources of truth- Risk to data integrity and security
* Manual data entry to transfer information from one system to another
* Disjointed business processes to service the booking needs of our community
The customer experience is poor due to the;
* Ad hoc booking process
* Limited accessibility to book facilities (during business hours, no on line self service)
* Long turn-around times in the process (from making a booking to bond refund)
