This Tender is invited by the Issuer.
The Digital Experience Project (the Project) is part of the Digital First Program at National Archives of Australia (National Archives).
During 2025-26, the project aims to upgrade engagement technology through the acquisition and implementation of several platforms and improvements to some existing systems, to uplift the digital experience and improve how people interact with National Archives. The project will target search and discover functionality, plus Ecommerce services.
National Archives invites suitably qualified vendors to lead implementation planning and subsequently, complete implementation and integration for the selected platforms, in alignment with National Archives future state architecture, operational and technical requirements.
The delivery of services in this procurement should be completed by 30 June 2026. Seller’s capacity to meet this timeline will be a central component of the procurement evaluation.
The successful Seller will be required to complete the following:
Deliverable 1: Develop a detailed plan and technical design to implement a new digital experience capability
- Subject to acceptance of Deliverable 1 and confirmation of timeframes and costs for Deliverables 2 to 5, the successful Seller will proceed with:
Deliverable 2 – 4: Use software as directed by National Archives (Section 2, Target State Architecture) to:
- Implement a centralised Digital Asset Management (DAM) system, that consolidates all publicly available copies of collection items
- Implement a search tool that indexes collection metadata (and potentially collection content) to facilitate natural language search and discovery of collection content
- Implement a process for external users to request, and pay for a selected set of services (such as digitisation on demand) from National Archives
Deliverable 5: Transition the solution to a sustainment team in National Archives, including:
- Development of technical documentation including as-built documentation, and user documentation
- Workshops and training with sustainment team members
- Support for user acceptance testing and train-the-trainer sessions
- 90-day warranty and vendor Level 3 support
