Tender Description

The National Gallery of Australia (the Gallery) is requesting information to evaluate options for a new audio guide platform for onsite, on tour and online visitors. The Gallery currently has an existing audio guide platform, authored and accessible through the Gallery’s website, nga.gov.au. A collection of all guides can be found on the Gallery’s audio guide page. The purpose of this RFI is to:

- Explore available platform options, both custom built and off-the-shelf.

- Understand indicative costs for development, licensing and support.

- Gather information on features and integration with existing systems.

- Ensure a fair and transparent discovery process prior to any formal procurement.

Goals

The Gallery’s goals for a new audio guide platform are to:

• Improve the listening and user experience for Gallery visitors, both onsite, on tour and online.

• Integrate with the Gallery’s Collection API.

• Improve the authoring and publishing experience for Gallery staff.

• Enable easy discovery of related content across the Gallery’s digital platforms.

Basic requirements

The platform should ideally:

• Be available on visitors’ personal devices

• Pull catalogue information, assets and content from the Gallery’s Collection API

• Provide mapping and wayfinding features for onsite users

• Offer content archiving

• Provide analytics and usage reports

Requested information

Vendors are asked to provide:

• Description of the platform and its features.

• Case studies or examples of previous implementations in museums/galleries or similar contexts.

• Indicative costs

  • Build/customisation (one-off).
  • Ongoing operational costs (hosting, support, maintenance).
  • License/Subscription fees (if applicable).

• Estimated implementation timelines.

• Integration capability with APIs.

• An opportunity for the National Gallery to trial the vendors platform/product (if applicable).

The National Gallery of Australia views this RFI as an opportunity for parties within the industry to contribute information based on their knowledge and experience.
