This Tender is invited by the Issuer.
The National Gallery has manual and paper driven procurement and payment processes and is seeking to implement an automated procure to pay system, which will see a digital workflow from procurement through to payment of invoices, including an e-invoicing capability by 1 July 2022.
The project is expected to significantly improve the procure to pay experience for staff, improve compliance with the finance law, improve reputation with suppliers around invoice payment, align with organisational sustainability and support environmental sustainability.
Workshops have been held to identify pain points from stakeholders across the National Gallery. A paper outlining options and recommendations has been drafted. The final solution is expected to be developed in the National Gallery's FMIS, TechnologyOne.
A project manager is being sought to lead the “Procure to Pay" project. The Procure to Pay project manager will be responsible for managing all components of the projects, including, but not limited to
. ensuring the final solution meet the needs and objectives of the Gallery
. activity and resource planning, ensuring project deadlines are achieved
. organising and motivating stakeholders
. cost estimation and budget planning
. regular communication to stakeholders
. analysing and managing project risk
. managing reports and necessary documentation, including providing updates to senior
management and the capital works committee on progress
. related procurement activities.
The Procure to Pay project manager will work approximately 10 days per month and report to the Head of Financial Operations.
