Tender Description
A visitor and contractor management system for on-site check in and out. Contractor management system to support process to request, review and approve contractor licenses and qualifications for work.
Project goals
This Request for Proposal (RfP) relates to the procurement of a Visitor & Contractor Management Solution (System/Services) that support the check in and check out of visitors and contractors, and the submission, review and approval of contractor documentation for on-boarding, projects or any ongoing works.
Transport for NSW (TfNSW) is seeking proposals from qualified vendors for the provision of the System/Services.
The RFP consists of two separable portions:
1. Separable Portion 1: Visitor & Contractor check in/out system
2. Separable Portion 2: Contractor management system
Respondents are welcome to respond to one or both separable portions. Each separable portion will be evaluated on its own merits. At its sole discretion, TfNSW may award one or more contracts under this RFP.
Scope
This procurement is for a visitor and contractor management system to support the check in and out process across various Transport sites. Key scope items include:
1. Support and services - Services will be provided 365 days a year with 24/7 customer and IT support expected and training material provided.
2. System for check in and out - Kiosks & QR codes for visitor check in and out on each site, possible on a mobile, tablet or laptop
3. Contractor management - Contractor invitation and registration with ability for contractors to provide licenses and documents to support the work they are undertaking. This should have approval automation for Transport staff to assess
4. Reporting - A range of reports should be available for Transport to view current compliance across each organisation.
