Tender Description

This Tender is invited by the Issuer.

⁠⁠⁠The Department of Employment are looking at upgrading their current Boardroom, located at 50 Marcus Clarke St, Lvl 11. The Department is looking to source an Audio Visual/Video Conference Consultant to liaise with Executive and IT staff, scope works, obtain quotes and manage the installation of a new multicamera video conference solution for the Boardroom.

The selected consultant will be required to liaise with Executive Staff in relation to their Boardroom requirements. Investigate what currently works, what doesn’t work and what the expected and future usage requirements are for the room.

Some of the currently known requirements are:

  • Multicamera video conferencing to suit the size of the meeting room, with VC participants in any area of the room to be trackable and visible (e.g. Torso or face) to the far participants using Microsoft Teams Room (on Windows or Android).
  • Premium audio when using video conferencing for far and near participants.
  • Ease of use with integration through single touch panel control to turn on/off and manage room equipment and video conference control.
  • Upgrade of end-of-life equipment to provide the same functionality as currently available in the Boardroom (i.e.: Projector, screen, Clickshare etc) while incorporating the new video conference requirements.
  • Ability to include manual whiteboarding as an MS Teams content input using Logitech Scribe, Huddy or similar.
  • Possible consideration of a touch screen display for electronic whiteboarding.
  • Increase the size of the current display screens to a size suitable for the room.

On selection of the consultant, there is an expectation that they will commence as soon as possible.

The consultation period is expected to cover up to eight months (hours to be confirmed).

**Please note this is an Ad-Hoc based engagement and not a full-time engagement.
