Virtual Event Management Solution (Software & Event Services)

⁠⁠⁠The Department of Jobs, Precincts and Regions, through Global Victoria, is undertaking a program of up to 28 Virtual Trade Missions to connect Victorian exporters with international markets while physical missions are unable to proceed during the coronavirus (COVID-19) pandemic. The Virtual Trade Missions will be delivered by 30 June 2021. Following the conclusion of this program, there may be a possibility of renewal of the project, subject to business need and budget outcomes.

Global Victoria is seeking to engage a supplier to deliver a secure end-to-end event and partial event solution that will enable the delivery of a range of Virtual Trade Missions which are currently in various stages of planning. The scope of work includes:

• Technology Solution – existing technology platform to facilitate virtual trade missions to be successfully delivered, and for Victorian exporters and international participants to connect and engage with one another.
• Events Management – registration, event configuration and customisation, pre-event planning and live event concierge-style support.
• Service and Support – training of staff to use the platform, reporting and analytics, and systems support.

This service is intended to establish an all-in-one digital event platform and associated event management services, to provide a common, branded experience for users including the Victorian exporters supported, providing reporting and analytics to Global Victoria on event outcomes, and to improve our overall efficiency and impact in delivering virtual trade missions. The platform must be an existing technology solution.

Global Victoria anticipates this technology solution will provide new ways of doing business internationally and deliver trade outcomes connecting Victorian exporters with international participants across multiple markets. It’s important that Global Victoria captures and reports key metrics from the virtual trade mission program including anticipated exports, numbers of participants, business connections and a 90 per cent satisfaction rate from user experience.

The Virtual Trade Missions program is a key investment in the Export Recovery Package which was announced by the Victorian Government under the theme of ‘Business Adaptation’ to ‘provide additional funding, tools and resources to help businesses adapt and prepare for reopening under COVID Normal settings’.
