Scope of Works
Rio Tinto Iron Ore (RTIO) are seeking a workforce accommodation and flights management solution (SaaS based).
The solution will be used to manage the demand and supply of accommodation and flights and enable a reduction in accommodation constraints and higher accommodation and flight utilisation, achieved through visualisation, planning and management. RTIO envisage it to be a a seamless one-stop shop transactional portal that is highly intuitive and simple to use for all users and teams. It will integrate with other RTIO external systems such as SAP, Microsoft Exchange & Amex. It should be web enabled with selected functionality deployed on mobile devices to selected user groups including external vendors.
Rio Tinto enviages the solution will enable:
- Access to real-time up-to-date accommodation and flights demand forecast data to ensure effective management of the accommodation and flights asset portfolio
- Demand Owners to better understand available accommodation and flight capacity to plan work schedules based on availability
- External service providers of accommodation and flights (Charter and RPT) to accurately plan logistics, work schedules and resources based on supply and demand data captured within the system
- Removal of manual re-entry of data
- Automated reporting along with improved governance and process controls
The main features that the system needs to provide are:
- Ability to edit an existing demand request
- Visualise current demand data;
- Ability to approve or reject demand requests;
- Provide a forecast for accommodation and flight demand and the ability to filter by location and date range
- Report on current demand, bookings, no shows and utilisation
- Ability to compile custom analysis and reporting using the underlying data
- Automated reporting and ability to create own reports
- API for surfacing data to external partners and their systems
