Installation and Dismantle of Christmas Decorations

⁠⁠⁠The Contractor is to install and dismantle Christmas decorations of varying structure and size across 7 activity centres. Installation is expected to occur week commencing Mon 16 November 2026 with dismantle taking place week commencing Monday 4 January 2027. 

Detailed requirements

Council owns a total of 33 Christmas Decorations of varying structure and size.

This is made up of 1 x large European Spruce foliage tree (7M), 6 x large fibreglass spheres (1.3M), 7 x small fibreglass spheres (1M), 9 x contemporary slotted trees (3.3M), 6 x gift box displays (2.6M), 1 x main tree/gift box display (2.4M) and 4 x Selfie Pods - Santa/reindeers/ elf (1.5M).

The large foliage tree is decorated with baubles and fairy lights. The fibreglass spheres are filled with large, coloured baubles, and fitted with solar fairy lights (Refer to Summary of Decorations table)

Each year the baubles and solar lights require inspection and replacement as required (due to wear and tear, and extreme weather effects). This ‘revamping’ is to be complete by the Contractor. 

The Contractor will install, maintain/upgrade and dismantle outdoor Christmas decorations, as well as pack and transport for storage in Council’s storage facility Monash Operations Centre 390 Ferntree Gully Rd, Notting Hill VIC 3168

The 7M foliage tree is made up of smaller pieces to be assembled on site. Installation of all decorations involves fitting with suitable weighting to ensure decorations are secure against high winds and potential vandalism. Sandbags can be provided.

The Contractor will transport the Christmas decorations to the various sites from Council’s storage facility and installed each year (mid-November) and removed (early January) and then transported back to the storage facility and stored until the following November. This is to be scheduled during times, days/nights that are not going to significantly impact pedestrians and traffic flow at the sites of the activity centres. This timing will be agreed to in consultation with the Supervisor.

After dismantling, the Contractor is required to securely wrap the Christmas decorations in plastic and place on pallets or boxed for protection of the Christmas decorations. 

The Contractor is required to pre-inspect the locations in advance of agreed installation dates, with the transport from Council’s storage facility, maintenance, and installation to be ready for the Christmas season.

Installation will be programmed for the 16th November 2026 at times and days so as to minimise traffic and shopper disruption. Dismantle will be programmed for the 4th January 2027 at a similarly quiet time.

Equipment

Council staff will assist to load and unload decorations on pallets at pick up from and drop off at Council’s storage site in Notting Hill. 

The Contractor is required to supply their own equipment to transport, install and dismantle Christmas decorations for different sites including but not limited to:

• Various trucks for transportation fitted with lifting equipment as required.

• Portable lighting; and 

• Traffic management signage

The following photos and plans from the 2025 installations depict the suite of Christmas decorations relevant to this brief for the City of Monash. Locations and combinations of decorations may vary slightly each year for each centre, but totals are accurate.
