Technology and Infrastructure
o Replacement of the existing fleet of 25 multifunction printers
o Deployment of energy-efficient, secure, and scalable devices
o Integration with print management software (e.g. PaperCut or equivalent)
Security and Identity Integration
o Secure print release via staff access cards or modern authentication methods
o Compliance with organisational security standards
Service and Support
o Ongoing maintenance, consumables supply, and technical support
o Service level agreements (SLAs) for uptime, response times, and issue resolution
Installation and Transition
o Onsite removal of existing devices
o Delivery and installation of new devices
o All transition activities to be undertaken by the successful tenderer — not City of Ballarat officers
Staff Training
o Staff training on new devices and software
o Communication and support during transition
Reporting and Monitoring
o Usage, cost, and environmental impact reporting
o Vendor-led support for system administration and updates
