Purpose

This RFQ seeks quotes from qualified suppliers specialising in user-centered design to deliver expert services in intranet strategy, information architecture, intranet design and governance to assist Coal LSL uplift its current SharePoint intranet to better support organisational needs.

Background

Coal LSL is the Australian Government corporation established to regulate and manage portable long service leave entitlements on behalf of eligible employees in the black coal mining industry. The organisation employees just over 250 staff who work in a mix of frontline service, administrative, corporate service and leadership roles.

The organisation has experienced significant growth since it was established as its own entity almost 8 years ago and many of its systems, processes and platforms have not kept pace with this growth. It does not have an overarching digital workplace strategy or well embedded information management practices which has led to critical business information being housed in multiple location and platforms (Confluence, SharePoint team sites, document centers and the intranet). This has created pain points and confusion about a single source of truth.

Coal LSL’s intranet serves as its primary channel for internal communication and employee engagement. The current intranet is a simple SharePoint communication site that was developed as a temporary solution in 2022. It was implemented without the necessary underlying structure or governance to support its continued growth and as a result has become a sprawling intranet that is no longer fit for purpose.

Coal LSL requires a modern, scalable, user-centred intranet that enables people to efficiently access the information, tools and resources they need to work productively and service the needs of our stakeholders in an efficient and compliant manner. This is particularly important as CLSL progresses with its digital transformation and other strategic initiatives.

This project will be led by the Internal Communications team, in close collaboration with the Information Technology team.
