This Tender is invited by the Issuer.
1. Purpose
The National Archives of Australia (National Archives) invites suitably qualified and experienced suppliers to submit a tender for the provision of application support services for its TechnologyOne enterprise platform. These services will ensure continuity, performance, and strategic enhancement of TechnologyOne modules used across National Archives.
2. Key Deliverables and Acceptance
The outcome of this procurement will be the provision of support for TechnologyOne to meet the National Archives daily operational needs, bug fixes, and audit requirements related to fraud prevention, internal controls, and segregation of duties.
The seller will provide the following deliverables:
- Day to day administration of National Archives financial systems, including user base, asset register, contract register, purchasing register, and general ledgers.
- Provide user support and user guidance for TechnologyOne.
- Perform month-end and end-of-financial year procedures.
- Review and maintain controls over user access, delegations and data integrity.
- Coordination of FMIS testing and project tasks including annual TechnologyOne updates.
- Identification and delivery of business and process improvement initiatives, including training.
- Coordination of responses and data provision for internal and external audits.
- Maintenance of documentation repositories for work instructions, design documents, and troubleshooting guides.
- Establishment and maintenance of effective working relationships with internal staff and stakeholders.
- Perform other duties as required, such as the preparation of reports, manuals, and documentation.
The buyer may accept or reject any recommended deliverables in accordance with the Master Agreement.
3. Delivery Milestones
A specified personnel member will be required up to 5 days per week, Monday to Friday, for up to 7.5 hours per day during business hours. This resource will deliver business-as-usual (BAU) services including incident resolution, configuration assistance, system monitoring, and user support. The daily engagement ensures continuity of service, timely issue resolution, and proactive system maintenance aligned with operational priorities.
