Tender Description

The Australian National University (ANU/the University) has transitioned to an annual graduation celebration with the expectation that an estimated 5000 students from across study careers and disciplines will graduate during these 1-2 weeks every year. Scheduled Wednesday 28 January through Friday 6 February 2026 at Llewellyn Hall (excluding weekend), not including bump-in and bump-out days, the celebration dates will be set sufficiently in advance each year to allow for students and staff to make plans ahead of time. Each ceremony will cater to approximately 300 students, and there will be 2-3 ceremonies held per day during the graduation period.

The University is seeking:

Videography and livestreaming (V&L) services for each celebration, with the possibility of concurrent ceremonies occurring in the same venue, noting ANU reserves the right to select an appropriate venue in the Australian Capital Territory each year which may be part of, or outside of, the ANU Acton campus.
Provision of V&L technology suited to the venue chosen and on-the day technical support including bump-in and bump-out of the venue and working collaboratively with venue providers around V&L needs and integration with other Audio-Visual services provided by the venue, if needed.
Provision of an integrated student registration management, regalia booking and ticketing services that provides an excellent student experience.
Gowning services that ensure cohorts are cohesively and professionally presented.
Clearly packaged photography, framing, memorabilia and merchandise packages that align with the University's branding requirements and uphold the quality reputation of an education at ANU
A commitment to continual improvement through feedback from service users across the life of the agreement.
