Tender Description

This Request for Proposal (RFP) is to obtain responses for solutions for YPRL’s Automated Book Returns and Sorting System requirements for the next five to ten years.

The Automated Book Returns and Sorting System will be deployed at Mill Park Library located at 394 Plenty Road, Mill Park VIC 3082.

While not in any way being bound by this RFP document, YPRL’s intention is to use this RFP and an evaluation process, to determine a supplier or suppliers to provide an appropriate Automated Returns and Sorting System for Mill Park Library.

Respondents should ensure that their responses to this RFP document are sufficiently detailed and comprehensive so as to facilitate this process. Supplementary material may be attached if desired, as may detail of any other benefits offered but not specifically requested in the specification.

Mill Park Library currently makes use of FE Technologies 24/7 secure external return chutes, Sort Assistant software and Smart Bins which provides the following services:

• 2x 24/7 secure external return chutes

• 2x FE Technologies smart bins

Bins are fitted with RFID technology that reads and checks in all items that are placed in the bin.

Each bin has a capacity of approximately 600 items.

Automatic lift that lowers as the bin fills and raises as it is emptied.

• Sort Assistant software

Provides an interface which handles all exceptions in one single process

Automatically prints on hold slips and transit slips for items to be sent to other branches

• Integration with YPRL’s library management system (Spydus 11.3) for user authentication via API.

YPRL would like to retain the existing wall-mounted 2x FE Technologies 24/7 secure external return chutes; however, if it is recommended that these be replaced to ensure optimal integration with the book sorter solution, please include this in the proposal.

YPRL would like to replace the FE Technologies Smart Bins and Sort Assistant software and at the same time to realise improvements in a number of areas. These include:

• 7-bin return solution

• Multiple item return capabilities

• The reliability of the overall Automated Returns and Sorting service provision.

• The ease of operation for library users.

• The amount of time ICT staff spend supporting the system (supplier provided on-site support would be desirable).

• Improved integration between the Automated Returns and Sorting System and Spydus 11.3

• Improved and more efficient reporting tools.

• Agreed routine maintenance plan for the device

• Excellent support service
