Tender Description

⁠⁠⁠Central Highlands Regional Council (council) is seeking offers by public tender to regularly attend to the garden and lawn maintenance of various Council owned properties across the region.

This includes several properties across each community, including community housing and vacant land for a period of 3 years / 36 months.

Generally, whilst each tenant is responsible for the care and maintenance of the garden areas within their tenancy area, Council may require attention to certain areas from time to time. The Property Services Team will provide regular communication with the successful tenderer in this regard.

The contract may be awarded to multiple contractors across the region.

Background information / Compatibility requirements

Properties to be maintained;

The tender documents details a list of all current Council properties that may require garden and lawn maintenance (however, if the property is currently occupied, it may not be required to be attended to). Council will notify the chosen contractor of any changes in this regard.

It is also noted that on occasion Council does acquire properties. If this does occur, this information will be communicated accordingly, and any price adjustment for that additional mowing will be negotiated with the successful tenderer having regard to the successful tenderer’s pricing schedule.

It is also noted that on occasion Council does dispose of properties. If this does occur, this information will be communicated accordingly and any price adjustment for a reduction in mowing will be based on the success-ful tenderer’s pricing schedule.

Frequency of maintenance;

The frequency of the Services will be at the discretion of Council and dependent upon prevailing seasonal and weather conditions but could be as regularly as fortnightly.

But during periods of extended dry weather, the fre-quency of the lawn mowing may be less than fortnightly. Requests for Supply will be issued by the Council as communicated by the Councils Representative and any price adjustment for the additional (or reduced) Ser-vices will be calculated based on the Contractor’s pricing schedule as provided in its tender submission.

Contractors are not to undertake mowing if prevailing dry conditions have resulted in a lack of sufficient growth and mowing will raise excessive dust and inhibit future grass growth.

Locations

The tender documents details the locations and specifics of each property. A site inspection can be requested if necessary. Contactors will undertake a site specific induction of each property upon commencement of the contract.
