Provision of HVAC and Refrigeration Maintenance Services

Background and Overview

The City of South Perth is seeking Tenders from appropriately qualified and experienced organizations to provide HVAC and Refrigeration Maintenance Services to establish a panel arrangement.

The Panel will provide the City with significant value for money outcomes which incorporate competitive fees, appropriate response times, and efficient project management.

The objective is to establish a panel arrangement of three qualified service providers for HVAC and Refrigeration Maintenance Services within a single service category which includes the following works requirements,

• Programmed maintenance works.
• Remedial maintenance of defective items as identified during planned maintenance or renewal works.
• Reactive and, or urgent maintenance works as required from time to time.
• Renewals and new installation.

It is the intention of the City to award the programmed maintenance works, ie. item 1 above, component to a sole contractor from the panel. Refer to the Panel Arrangement Overview Buying Rules section outlined in Part 2 Scope and Specification section for further details regarding work allocation structure for panel members.

The City makes no guarantee of any quantity or volume of work or spend under the proposed contract.

Potential Tenderers should carefully consider their current and future resourcing commitments and any impact this Tender requirement would place on their financial viability before tendering.

It is expected that the resulting contracts will commence on or near 7 October 2024.

The Contract duration shall be for three years and includes one option to extend the contract for a further 24 months at the sole discretion of the City.

In the event of a Panel member exiting the arrangement before the natural contract expiry date, the City can appoint from the next ranked value for money tenderer from the RFT selection process undertaken for this RFT and

The allocation of work will be in accordance with the process stated in the Buying Rules.

The City

The City of South Perth is a medium sized metropolitan local government authority in the inner southern suburbs of Perth's Western Australian capital city.
