PACIFIC ISLANDS FORUM SECRETARIAT (PIFS) CATERING SERVICES & STAFF CAFETERIA OPERATION

The PIFS seeks a suitably qualified cafeteria operator to manage and operate a small Caféteria located within the PIFS Head Quarters (Secretariat) at Ratu Sukuna Road, Suva and to provide catering services for all its official functions and meetings.

The Secretariat has a total of 114 staff and hosts an average of 40-50 meetings a year with a range of participants from 10-200 at any one time. A full day meeting includes morning tea, lunch and afternoon tea. There are certain meetings that span more than 1 day, and up to a full working week.

Depending on the meeting organisers and the type of meetings held, the Secretariat also hosts cocktail functions to compliment the meetings where refreshments and cocktail food servings are also provided in the evenings. In addition, the Secretariat staff also need to have a cafeteria provider to provide coffee, food & refreshments during working hours from 9:30am 4:00pm Mondays to Fridays at a monthly rental rate to be agreed.

There will be occasional considerations and requests for VIP dinners to be facilitated at the cafeteria from time to time. Dinners may also include staff organized events and functions. External organisations that hire the PIFS Conference facilities may choose to use PIFS caterer or use their own preferred catering services.

Service Information

The details of the services to be provided is contained in the Terms of Reference (ToR) which could be obtained from www.tenders.net/forumsec .

The RFT should include the following:

• Evidence of the applicant’s experience in the management and operation of a food outlet preferably in an urban setting within the last 3 years;

• Evidence of a suitably qualified food safety measures and capable staffing to promote and perform the services to a high standard;

• Evidence of their financial capacity and capability to perform catering services; and

• Proposed rental price for the staff cafeteria.

Registrants must note that some investment will be required prior to commencement of the Services. Proposals must outline the plan for the following main services.

• Operation of a Coffee shop that produces good quality coffee and health drinks.

• Operation of a sandwich /food/pastry bar to cater for staff and visitors

• Provide Catering for meetings and functions held at the Secretariat.

• Operate a semi-commercial kitchen to cater for staff and visitor lunches.

• Provide the movement of food in a safe and hygienic manner, that is prompt, between the cafeteria and the meeting, events and function venues.

• Provide the prompt movement of equipment, dishes, and items for set up for meetings, events and functions at venues.

HOW TO APPLY

To be eligible, Registrants must be Fiji nationals or own a catering business in Fiji.

Submissions need to reach the Secretariat by 5:00pm, Friday 8 December 2023 (Fiji time).

Late or incomplete submissions will not be considered.
