This Tender is invited by the Issuer.
IP Australia is undertaking a project with three components, including a migration of an existing SAP database to a cloud environment and within a new database, insource payroll services within an Aurion system, and a number of process improvements in the corporate space which require system changes, installation and business process changes.
The Project Support Officer is responsible for:
• Supporting IP Australia’s Senior Project Manager and/or Project Lead to implement the Project;
• experience monitoring, driving, tracking and reporting on tasks for Project deliverables;
• organising work, setting priorities and completing tasks within set timeframes;
• successfully managing competing priorities and changing timeframes;
• recording meeting minutes from project meetings and distributing meeting minutes to relevant stakeholders;
• assisting with tracking project budgets and managing various registers as directed;
• writing project documents under guidance from the Senior Project Manager and/or Project Lead;
• record management, including scanning / saving files in BRIK Objective, SharePoint and Microsoft Outlook inbox file maintenance;
• establishing and nurturing professional networks and cultivating positive relationships with IP Australia’s stakeholders and business areas;
• resolving or escalating project specific problems to the Senior Project Manager and/or Project Lead and adapting to changes;
• ensuring the Senior Project Manager and/or Project Lead is kept fully briefed on progress and any issues;
• complying with all policies, procedures and practices of IP Australia;
• following all reasonable and lawful directions of IP Australia;
• notifying IP Australia of any absences (including sick days and personal leave);
• co-operating with any third-party supplier engaged by IP Australia where this is necessary to meet IP Australia’s objectives. The Specified Personnel must also provide such reasonable assistance to other service providers as the Customer may request from time to time;
• in addition to complying with all applicable laws, complying with all relevant provisions of the Public Service Act 1999, the APS Code of Conduct, APS Values and the APS Employment Principles; and
The Supplier must ensure that the Specified Personnel is available on a full-time basis (8 hours per day, Monday – Friday (excluding public holidays and IP Australia’s Christmas shut-down period) at 47 Bowes Street, Woden ACT.
The Supplier must ensure that the Specified Personnel exhibits behaviours and an appropriate level of skill to be expected of an Australian Public Service (APS) Level 6, which includes compliance with the Australian Public Service Commission’s APS Level 6 Work Level Standards (https://www.apsc.gov.au/work-level-standard-aps-level-6) and the Integrated Leadership System for APS Level 6 positions (https://www.apsc.gov.au/integrated-leadership-system-ils-aps-6-profile).
