Tender Description

The Port Phillip and Westernport Catchment Management Authority (PPWCMA) requires a new set of illustrated maps of the Port Phillip and Western Port region.

The PPWCMA has an illustration created around 10 years ago, and while the current illustration is still reasonably accurate, it no longer reflects some important changes to the region, in particular the urban expansion.

The PPWCMA values the style of the current map and is seeking a new version that maintains an illustrated style (incorporating the new artist’s individual style) but reflects the region’s current landscape. The PPWCMA will consider a more contemporary feel for the map and/or a different style if that offers advantages over the current style.

Initially the map(s) will be used on a new website for the Port Phillip & Western Port Regional Catchment Strategy. Beyond that, the maps will be used in various ways to promote the PPWCMA and its work.

A deviation from the current illustration, which is a single map, is that the PPWCMA is seeking an additional version of the map that shows the region split into nine local areas, plus stand-alone maps/illustrations of those local areas.

Final products
Maps of the Port Phillip and Western Port region presented in an illustrated format:

  1. Map of full region
  2. Map showing how region is split into 9 ‘local areas’
  3. Individual maps of the 9 local areas showing more local detail.

Maps files to be provided as PDF, JPG and PNG.

Responding to this project brief
Please read the project brief attached. Please only use the online forum tool to request additonal information and ask questions (noting that responses will be posted from Monday 15 March).

Potential contractors are asked to submit a proposal that responds to this project brief and includes:

  • Examples of their relevant work
  • Description of their proposed style of map and rationale for it
  • A simple concept drawing demonstrating the proposal for the new maps
  • A quote for the contract including individual costings of key elements of the work.

Key dates

  • Sunday 21 March 2021: Tenders due.
  • Friday 26 March 2021: PPWCMA to review tenders and engage successful tenderer.
  • Week of 29 March - 1 April: Project inception meeting between PPWCMA and successful tenderer to agree on key elements of the project.
  • Week of 19-23 April: Draft maps provided to PPWCMA (complete draft of region-wide map, working drafts of selected local area maps).
  • Week of 26-30 April: PPWCMA to provide feedback; additional discussions and workshopping between PPWCMA and tenderer if required.
  • Week of 10-14 May: Complete drafts of all maps provided to PPWCMA. PPWCMA will provide feedback in same week.
  • Week of 17-21 May: Final versions of maps delivered. Project complete.

Project budget
The PPWCMA has up to $10,000 allocated for this project.

The price and value-for-money will be one of the factors considered to decide on the successful tenderer.
