Tender Description
Due to the timing for the pending release of this Invitation to Offer (ITO), AQ is provided the following detailed Forward Procurement Schedule for the benefit of suppliers and their subcontractors’ (if any) to plan for this upcoming tendering activity.
Corporate Administration Agency (CAA) would like provide forward notice of Arts Queensland’s (AQ) intention to release an ITO (subject to final approval) for routine, periodical and additional adhoc Cleaning, Waste Management, Hygiene Disposal and Pest Control (Bundled) Services. We anticipate releasing the tender via QTenders in late October 2015, with the intention of holding a Mandatory Industry Briefing (MIB) tentatively scheduled for Tuesday 10 - Friday 13 November 2015. Only those suppliers meet the mandatory requirement of full MIB attendance (in addition to any other mandatory requirements) will be eligible to submit an offer.
Note: The MIB will entail a four (4) full day total commitment from suppliers (incorporating first day briefing and three (3) subsequent days of site inspections at South Brisbane, Fortitude Valley and Hendra). To meet the mandatory requirement of attending the MIB in full – suppliers will be required to have one (1) supplier representative attend for the full four (4) day MIB agenda, however supplier subcontractors’ (if any) will be allowed to just attend for their relevant portion of services through the agenda. We would like to ensure suppliers are prepared in advance, as the MIB will be hosted around two (2) weeks post tender opening and this will be the only opportunity to meet this requirement (as it is scheduled with many stakeholders and to ensure tender timeframes are met).
This is a significant tendering opportunity with an anticipated initial Contract Term of three (3) years to commence 1 July 2016. At the end of the initial Contract Term should the customer be satisfied with the suppliers’ performance, the customer may at its sole discretion, invoke its’ option and invite the supplier to extend by a further two (2) individual and consecutive terms of three (3) years to provide a total potential Contract Term of no more than nine (9) years in total.
On tender release, suppliers will be required to thoroughly review the tender documents prior to registering for the MIB to ensure they:
* Have the required capacity and capability to appropriately resource the complex requirements of this tender; and
* Can comply with the briefing/site inspection requirements which will limited to two (2) representatives only at any one (1) time during the scheduled activities, one (1) of which must be from the offering supplier entity at all times.
The information released in this forward procurement schedule, is the only information the CAA contact will be able to furnish to suppliers until the tender is released. We therefore request all enquiries be withheld until the tender has been formally advertised, and you have the opportunity to thoroughly review the associated documents.
Note: For the avoidance of confusion, the closing date of Monday, 2 November 2015 only refers to this forward procurement schedule, as the full tender invitation should be released prior to that date.
