Printer Lease and Support Services

⁠⁠⁠Overview

Hydro Tasmania (HT) is seeking a supplier to provide printer lease and support services across its Australian operations.

About

Hydro Tasmania currently operates a fleet of 67 devices across metropolitan, regional, and remote locations throughout Australia. The existing rental and printer support service agreements are scheduled to expire in February 2027.

Purpose

To support ongoing business requirements, Hydro Tasmania requires a consistent, secure, and centrally managed print environment that enables future scalability, aligns with evolving security standards, and supports integration with emerging technologies for the next 5 years.

Scope

The scope includes:

• Support for printer devices up to 65ppm, including full finishing and high-capacity tray options, as well as compact footprint devices for space-constrained sites
• Provision of a range of device categories to meet varying business needs, including low-, medium-, and high-volume printing environments, with suppliers outlining available printer models and capabilities within each category, including print volumes, functionality, and support arrangements
• Capacity to supply a UAT device for validation purposes within Hydro Tasmania's printer environment
• Print management software integration across the full fleet, including directory integration and secure print release via FOB, building access card, or ID authentication
• Proactive monitoring and ongoing updates of software, firmware, and security updates, ensuring updates can be applied without adversely impacting performance or service availability
• Consistent user interface and internal controller platform across all devices to simplify user experience, training requirements, and localised support
• Unified support model covering metropolitan, regional, and remote locations across Australia, with remote access to device interfaces for configuration and troubleshooting
• Consumables management including automated monitoring, replenishment, and vendor-managed supply to key locations as outlined in 'Printer Information.xlsx' at Attachment A
• Equipment delivery, installation, relocation, and recovery covering metropolitan, regional, and remote sites, including locations with challenging access requirements (for example locations requiring crane lifts, special handling, restricted access arrangements, or other logistical considerations)
• Centralised certificate management with full PKI support, including CSR generation from devices and integration with internal CA support
• Automated certificate enrolment and renewal via NDES or equivalent to reduce administrative overhead
• Security features including TPM 2.0 for hardware-based encryption and secure key storage
• Native OAuth 2.0 support for Microsoft 365 scan-to-email
• Consistent and transparent cost-per-page pricing across all devices, regardless of model or location
• Servicing and support capability for printers located at remote and unmanned sites, including those with minimal print volume returns
• Secure warehousing and storage of devices and related equipment for extended periods where required, including during project transitions, office relocations, site closures, or other activities

Contractor Requirements

• Defined governance, communication channels, escalation procedures, and service management processes to support effective coordination between HT and the supplier
• Ability to understand and comply with site and infrastructure requirements, including induction processes for onboarding new servicing agents to ensure compliance with site requirements and safety standards
• Willingness and ability to obtain and maintain AusCheck clearances and any other required security accreditations to access HT operational sites
