Tender Description

⁠⁠⁠Overview

The University of Sydney is conducting an Open Registration of Interest (ROI) as a prerequisite to an upcoming Request for Information (RFI) and Tender for the supply, implementation, and ongoing support of an Integrated Workplace Management System (IWMS). The University intends to invite suitably qualified vendors to respond to the RFI.

About

The University's real estate portfolio includes over 600 buildings and 40,000 spaces across 10 different locations, including campuses and farms. Many of the assets are ageing, with 33% holding heritage status, presenting unique challenges that require a strategic and proactive approach to asset management.

The University's Strategic Asset Management Plan (SAMP) has identified improvement of infrastructure asset information management capability as a strategic priority. The SAMP recognises that effective management of infrastructure, facilities, and associated operational services increasingly depends on reliable, integrated, and accessible data.

Purpose

The complexity and scale of the University's portfolio necessitate a shift from a reactive, run-to-fail approach to a proactive, planned asset lifecycle management strategy. In response to changing demands and industry standards, the University is seeking to improve the technology ecosystem supporting campus operations, infrastructure management, and strategic planning, as part of its objective of creating a better place to work, and a place that works better.

Objectives

  • Strengthen infrastructure information management
  • Improve collaboration across the University
  • Enhance the management of data as an enterprise asset
  • Increase the use of spatially enabled information
  • Establish a scalable foundation for future smart campus and digital twin capabilities

Scope

The University is seeking to transform its core enabling technology environment, which includes:

  • Undertaking a renewal program of its core facilities and asset management technologies to establish a future-ready IWMS solution
  • Establishing a modern technology ecosystem around the core IWMS solution capable of supporting future smart campus, digital twin, and advanced operational analytics capabilities
  • Improving foundational information management capabilities, including infrastructure data governance, policies, processes, standards, and data quality

An IWMS solution typically provides an enterprise platform to support core functions such as:

  • Facilities and space management
  • Asset and maintenance management
  • Real estate and lease management
  • Environmental sustainability
  • Project delivery
