Northern Land Council currently operates 18 multifunctional devices (MFDs) across the Darwin are 7 Regional Offices. These devices form an integral component of daily operations, supporting printing, scanning and document workflows across these locations.
As part of ongoing infrastructure management, NLC is required to actively plan for the lifecycle replacement and refresh of the MFD fleet. Maintaining a modern and reliable fleet is necessary to ensure operational continuity, minimize downtime, and support evolving technology requirements. The organization also requires the flexibility to reduce the number of deployed MFDs due to new office building in Berrimah NT as operational requirements change.
This procurement will establish a leased managed print solution to replace the existing fleet and support future operational needs across seven regional locations and ten metropolitan sites, with additional smaller standalone printers for small workspaces where a full MFD is not operationally required.
The refresh of the current fleet is required for the following reasons:
- The current MFD fleet has exceeded its 36-month lease lifecycle.
- Hardware reliability has declined, resulting in increased service incidents and operational downtime.
- Devices are now surpassing three years of operational life, where higher failure rates are typical.
- Existing devices are less energy efficient than current models, offering fewer power-saving and environmental features.
- The organization is transitioning to cloud-based services, requiring compatibility with modern print technologies including cloud printing and PaperCut Hive.
The new fleet must support high-volume printing, modern security standards, and integration with cloud-based print management platforms, while ensuring service and warranty support is available for remote and regional locations.
