Data Migration Services - TechnologyOne

⁠⁠⁠The Council is delivering a project to transition the provision of its Property and Rating services from Infor Pathway to TechnologyOne Property and Rating. In addition, the Council is migrating its electronic document records from Content Manager’s Electronic Document Management Records System (EDRMS) to the Electronic Content Management (ECM) module within the TechnologyOne platform.

The Council requires a two-stage approach to the Data Migration Services requested within this tender.

Stage One:

1. Identify and map current data structures, data sets and flows within Pathway and Content Manager
2. Create a data migration strategy and plan
3. Develop a high level data map for data transformation from current systems to TechnologyOne Property and Rating and Electronic Content Management modules, addressing at least, but not limited to, TechnologyOne’s standard shipped configuration for these modules.
4. Identify required resources, roles and responsibilities from the Council to assist with data migration and project activities.
5. Create a secondary strategy and plan for the treatment of non-migrating data, with recommendations for data storage, structures and accessibility.

Stage Two:

1. Enact the Data migration strategy and plan created in Stage One,
2. Following the configuration requirements sign off with TechnologyOne, review and finalise the data map for data transformation from current systems to TechnologyOne’s Property and Rating and ECM modules. Allowing for changes to be made to the data mapping as the Council, progresses through the implementation of the two modules with TechnologyOne assistance.
3. Extract, transform and migrate data into Property and Rating and ECM within TechnologyOne
4. Assist with data cleansing and legacy data disposal actions to prepare for data migration
5. Provide or develop tools to migrate cleansed data to TechnologyOne for user testing
6. Provide a quality and testing plan to ensure the proper function of the Property and Rating and ECM modules within TechnologyOne following data migration
7. Assist with training users to enable data testing following migration
8. Assist with testing and quality checks to ensure the success of the data migration though at least (but not limited to) two user testing phases.
9. Allow for rectification and remapping of data identified as unsuccessfully migrated through user testing phases requiring a secondary data migration for further testing.
10. Upon successful completion of user testing, complete final migration to the production TechnologyOne Property and Rating and ECM environment
11. Assist with assurance testing in the production modules of TechnologyOne.
12. Provide post go-live support for a period of 6 months

The Council will enter into an Agreement for Services with the successful Tenderer.
