Tender Description

⁠⁠⁠The Art Gallery of New South Wales (AGNSW) is seeking Expressions of Interest (EOI) for the procurement and implementation of a fit-for-purpose Collection Management System (CMS).

Project goals

This project aims to find a solution to optimise the management of artwork, archives and digital asset data and information, facilitate workflows and procedures and strengthen integration with other AGNSW systems and software.

The CMS must ensure secure, consistent, accessible data management that is future proof and compliant with Australian data privacy regulations and Cyber Security requirements.

This is a two-stage process with an open market Expression of Interest (EOI) with providers who are able to demonstrate the requirements progressing to a selective tender stage.

Scope

The Gallery is looking for a new Collection Management System that should deliver:

  • Enhance collection care
  • Optimise location management and movements
  • Assist financial management
  • Improve efficiency
  • Facilitate workflows and collaboration
  • Increase access to collections
  • Enable integration
  • Future-proof growth
  • Support First Nations data sovereignty
  • Enable legislative compliance & security

By implementing a Collection Management System solution, we aim to strengthen and streamline our collections and exhibitions processes, increase operational efficiency, and position the collection for sustainable, future‑focused growth.
