Tender Description

This Tender is invited by the Issuer.

The specialist will be required to:

  • Project planning, coordination and supervision and oversight for a digital records management sentencing and disposal project;
  • Developing a high-level project roadmap/schedule outlining the summary of steps to be undertaken in the task;
  • Development of project protocols in collaboration with the support integrator for the agency’s Enterprise Information Management Solution (Opentext Content Management, previously known as Content Server) and the Information and Knowledge Management (IKM) team;
  • Providing sound and timely advice on the evaluation and preservation of records for administrative, historical, legal and evidential purposes;
  • Developing (in consultation with AUSTRAC IKM) the disposal and retention approach/ flowchart to be followed;
  • Development of records retention and disposal authorisation procedures;
  • Implementation of records retention destruction and transfer decisions;
  • Assessment of the application of retention and disposal authorities;
  • Quality control of sentencing;
  • Drafting and provision of regular progress reports and tracking of issues;
  • Liaising with external stakeholders such as the National Archives on the transfer of permanent records;
  • Contributing to other related work as required.

The following skills/competencies and knowledge are essential:

  • Previous experience applying Commonwealth records retention authorities and mapping across generational functional and general records authority classes;
  • Demonstrated knowledge of Federal legislation standards and guidelines relating to records and information management in commonwealth agency; and the ability to apply this to controlled and uncontrolled records and ability to impart knowledge to project team;
  • Demonstrated experience with National Archive transfer processes and knowledge/ relationships with National Archives;
  • Experience in sentencing and disposal of government records within framework of disposal authorities;
  • Ability to work independently, set priorities and meet agreed objectives and performance targets;
  • Demonstrated experience delivering pragmatic outcomes that support business effectiveness and quality procedures.

Location of services: Sydney

Note: Key Personnel who will be engaged in the above activities must have an NV1 or at least Baseline with the ability to obtain their NV1 and successfully complete the Agency’s Suitability Assessment (ASA) prior to commencing.
