Tender Description

RFP for provision of Clinical Workstations on Wheels (WOW) equipment and services for Hunter New England Local Health District

Project goals

Hunter New England Local Health District (HNELHD) is seeking a supplier to provide, fulfil, and deliver 641 new Workstations on Wheels (WOWs) and upgrade 254 existing Herman Miller Medication Carts to ensure compatibility with Windows 11 and replace aged hot-swappable batteries across 45 sites.

This procurement is critical to achieving technical readiness for the Single Digital Patient Record (SDPR) go-live in late March 2026. A phased delivery approach with clearly defined milestones prior to go-live will be essential. Upgrading and replacing these clinical devices will ensure frontline staff have access to technology that supports SDPR workflows and new models of care, ultimately improving patient outcomes.

Standardization across HNELHD is a key requirement due to the extensive WOW and Medication Cart fleet deployed across all sites. We are seeking a reliable supplier capable of delivering high-quality products and providing timely, ongoing warranty support across the entire HNE network.

Scope

Category 1 – Workstations on Wheels (WOW) Scope of Services

The supplier will be responsible for:

  • Delivery of WOW units to designated health facility locations on pre-agreed dates and times.
  • Unpacking and unboxing each device including offsite disposal of all packaging.
  • Assembly of the cart, including mounting the All-in-One (AIO) PC and associated accessories. Spare battery and any chargers must be placed on the WOW’s flat tray for delivery to the clinical area.
  • Power-up and functionality check to confirm the cart powers on successfully.
  • Delivery of the assembled WOW to the ICT Office/area for HNELHD ICT Services staff to image the AIO PC.

Category 2 – Medication Cart Upgrade Scope of Services

The supplier will be responsible for:

  • Delivery of AIO PCs and power solutions to designated health facility locations on pre-agreed dates and times.
  • Unpacking and unboxing of equipment including offsite disposal of all packaging.
  • Assembly and upgrade of the cart, including mounting the AIO PC and installing the new power solution.
  • Power-up and functionality check to confirm the cart powers on successfully.
  • Delivery of the upgraded Medication Cart to the ICT Office/area for HNELHD ICT Services staff to image the AIO PC.
