Information Management Uplift in M365

The aim of this project is to uplift NAIF’s Microsoft 365 information management environment and processes. After this uplift is implemented, NAIF will assess ongoing information management requirements.

 This RFP is intended to identify an experienced provider who can offer both Information Management (for Commonwealth bodies) expertise and also M365 technical experience who can work with NAIF to uplift and mature Information Management capabilities.

NAIF anticipates that the successful Respondent will provide the below services which have been split into two discreet packages of work:

• Package 1: Information Systems and Lifecycle Management
• Objective: Enhance the configuration, compliance, and lifecycle management of information systems.

Deliverables:

• Review and finalise policy and procedure documents to support business systems for information management deliverables in package 1.
• Configure SharePoint to support information and records management including the Normal Administrative Practice (NAP) policy.
• Configure Microsoft Purview to support lifecycle and compliance requirements and develop SharePoint access personas.
• Standardise metadata across business systems and develop a metadata registry.
• Work with NAIF’s Privacy Officer to ensure privacy obligations are met when designing and implementing meta data standards, personal and sensitive classifications and Purview to discharge privacy.
• Map and apply National Archives Records Authorities to information assets.
• Document system design and configuration.

Package 2: Business Systems and Process Integration

Objective: Ensure business systems and processes support effective information management.

Deliverables:

• Review and update online induction content for information management.
• Develop a Data & Information Management hub on the intranet with links to relevant policy, procedures and training resources.
• Execute document disposal and transfer as per NAIF policies.
• Develop criteria to support a Business Systems Assessment Framework for future procurement and system selection.
• Suggest further updates required to NAIF’s Information Management framework and policy suite to reflect uplift package 2 deliverables.
