Booking Management System

Strathfield Council invites suitably qualified and experienced organisations to submit tenders for the provision and implementation of an online booking management system for Council-managed community spaces. The successful vendor will demonstrate appropriate certifications, proven capability, capacity, and a strong track record of delivering value-for-money solutions aligned with Council's strategic objectives.

Council oversees a diverse portfolio of community assets including parks, open spaces, sports fields, and venues available for public use. This tender presents an opportunity to modernise Council's current booking processes through the deployment of a comprehensive digital solution that enhances customer experience, streamlines internal operations, and reduces manual handling by staff.

The proposed system must address the following key service areas:

• Sportsfields and parks bookings (including Council-hosted events)
• Venue bookings (including Council-hosted events)
• Permit management (e.g. road infrastructure, outdoor dining)

Key features of the new system should include:

• The new online booking system should provide 24/7 accessibility, allowing customers to view real-time availability, and make bookings at their convenience without the need to deal directly with Council.
• A new system should allow integrating payment & refund processes to streamline back of house financial transactions and provide valuable data to assist management with forecasting, planning and resource allocation.
• An online system should offer valuable information on customer preferences & booking patterns and assist with informed decision making and strategic planning.
