The NMS Section manages the development of public safety communications policy and capabilities, including:

• Emergency warning systems

• The Triple Zero website

• The Cell Broadcast National Messaging System (NMS) project

• The Public Safety Communications Capability Strategy

This Request for Quotation seeks Professional and Consulting services to support IT program delivery in the NMS section. Specifically, we are seeking an IT Project Coordinator to provide coordination, reporting, stakeholder engagement, and technical administration for ICT systems underpinning public safety communications initiatives.

Under direction of the Assistant Director and Director, the role will be responsible for providing specialist advice relating to the program delivery related Section, Branch and organisational priorities.

Position Summary

The IT Project Coordinator will support the delivery of the National Messaging System (NMS) program by coordinating schedules, managing documentation, engaging with stakeholders, and overseeing technical and vendor activities. The role ensures ICT systems and services are delivered on time, within scope, and in alignment with NEMA’s strategic priorities.

The position requires strong organisational and project coordination skills, with the ability to work across government, technical teams, and external vendors to ensure the effective delivery of ICT and public safety communications initiatives.

Specific Duties / Responsibilities

The IT Project Coordinator will:

  • Coordinate project schedules, milestones, and deliverables to support successful ICT outcomes.
  • Provide project documentation, reporting, and governance support.
  • Track project progress, risks, issues, and dependencies, escalating where required.
  • Liaise with ICT teams, stakeholders, and vendors to ensure timely delivery of technical outcomes.
  • Support procurement, contract administration, and vendor performance monitoring for ICT services and products.
  • Maintain project registers, logs, and records in accordance with NEMA standards.
  • Contribute to change management, training, and communication activities for ICT project rollouts.
  • Provide timely and accurate project status updates to management and stakeholders.
  • Identify opportunities for process improvement and contribute to best-practice project management approaches.

Key Capabilities

  • Demonstrated experience coordinating ICT or digital projects in a government or enterprise environment.
  • Knowledge of ICT project management methodologies (e.g., PRINCE2, Agile, MSP).
  • Strong organisational and coordination skills with attention to detail.
  • Proven ability to manage multiple tasks and priorities in a fast-paced environment.
  • Excellent communication, negotiation, and stakeholder engagement skills.
  • Proficiency in project management and collaboration tools (e.g., MS Project, Jira, Confluence, MS Teams, SharePoint).
  • Understanding of public safety communications or emergency management (desirable).
