Tender Description

AgriFutures Australia delivers a range of capacity building initiatives to attract, support and develop emerging talent in agriculture. These programs aim to build a future ready workforce, foster leadership, and encourage innovation in the agrifood sector.

AgriFutures is also actively exploring and designing new initiatives to respond to emerging challenges and opportunities through a structured approach to program ideation and co-design. This may include strategic planning initiatives, which guide organisational direction and ensure alignment of AgriFutures Australia’s programs and investments with emerging opportunities, stakeholder needs, and long-term industry goals.

Scope:

The successful provider will have the ability to deliver the following services to support AgriFutures Australia’s organisational development and stakeholder engagement activities:

Pre-engagement preparation:

• Participate in project initiation meetings with AgriFutures Australia to confirm objectives, scope, timelines, and stakeholder expectations.

• Develop tailored workshop and facilitation plans in consultation with AgriFutures staff.

• Structured de-brief sessions with AgriFutures Australia post-event/project to ensure accurate and timely capture of feedback, key learnings and improvements for the next event or project.

• Design and submit draft agendas, materials, and session plans for approval.

• Ensure all plans are developed with clear milestones and all agreed timelines are adhered to.

Facilitation and workshop delivery:

• Deliver a series of professionally facilitated sessions (in-person, virtual, or hybrid), tailored to project needs.

• Apply best practice facilitation techniques to encourage collaboration, critical thinking, and inclusive participation.

• Ensure sessions are outcome focused, with clear next steps, actions or outputs.

• Provide all relevant materials, and resources to support workshop engagement.

Capacity building capability:

• Design and deliver capacity building activities (e.g. training, coaching, guided sessions) to uplift knowledge and capacity in specific areas as identified by AgriFutures Australia and as per agreed timelines.

• Tailor content to suit a variety of stakeholders, from early career professionals to experienced executives and community leaders.

• Apply practical tools to ensure high engagement and relevance.

Strategic planning:

• Support strategic planning activities in line with AgriFutures strategic plan and KPIs.

• Provide support in the design and delivery of strategic planning sessions.

• Apply structured frameworks or methodologies to guide decision-making and alignment.

• Capture key insights and outputs in accessible formats such as strategy summaries, planning documents, and action roadmaps.

• Assist with defining success measures and identifying opportunities for future evaluation and measuring success.

Delivery and reporting requirements:

• Develop and maintain a delivery schedule and communicate any risks or delays proactively.

• Provide session summaries, key insights, and strategic outputs within agreed timeframes.

• Maintain regular communication with AgriFutures Australia and provide progress updates as required.

• Ensure all materials and deliverables are fit for purpose, professionally presented, and ready for use by AgriFutures teams or stakeholders.

• Develop a post event and/or project report that summarises the key elements of the project, objectives, program, results, key learnings and impact and evaluation within an agreed period of time.

• Develop, in conjunction with AgriFutures Australia, event or project surveys that measure the effectiveness and impact of the event and/or project.

• Ensure all activities and outputs are delivered as per the agreed schedule and timeline.

• Agree on reporting requirements during the project scoping stage, and ensure appropriate tactics are in place to deliver and report against these objectives.

Personnel and logistics:

• Nominate a dedicated lead facilitator or project contact for consistency throughout the engagement.

• Ensure all personnel proposed for delivery are available and briefed on context and content.

• Deliver services at locations or via platforms nominated by AgriFutures (E.g. Wagga Wagga, Microsoft Teams).

• Accommodate travel and accommodation arrangements if required for onsite delivery (to be negotiated as part of contract).

Service requirements

The successful provider will have the ability to deliver the following services to support AgriFutures Australia’s organisational development and stakeholder engagement activities:

  • Pre-engagement preparation
  • Facilitation and workshop delivery
  • Capacity building capability
  • Strategic planning
  • Delivery and reporting requirements
  • Personnel and logistics

If you are submitting a response to only part of the requested services outlined in this RFQ, please clearly indicate which components you are responding to and provide justification for partial delivery.

Applications for this Request for Quote must be submitted to the Contact (below) by 5pm AEST on Tuesday 30 September 2025.

Terms of reference

AgriFutures Australia uses standard form contracts and agreements for projects and research procured by AgriFutures Australia (please refer to agrifutures.com.au/legal). These contracts and agreements set out the terms on which AgriFutures Australia will engage successful applicants to carry out the project.

Applicants must be familiar with the contracts and agreements before submitting a response, and are advised to seek legal advice beforehand. These contracts and agreements have been developed to reflect AgriFutures Australia’s statutory and other procurement responsibilities.

If you require any amendments to the standard agreement, please complete the statement of non-compliance for each of the relevant clause. AgriFutures will then assess those requests. Applicants will be taken to have agreed to all clauses in the Service Provider

Agreement that are not referred to in a statement of non-compliance. The extent of any non-compliance will be a factor in AgriFutures Australia’s evaluation of the application.
