Key problem/s

Old Parliament House are coming to the end of a 5yr Multifunctional Device support and maintenance contract and will be entering into an RFQ to Procure a new Fleet of MFDs and Large Format A1 Printer at the end of this RFI.

This RFI serves the purpose of asking the market for any additional functions, features and supportability of the required models.

Vendors are encouraged to respond if they meet one (either) or both of these requirements. It is OPH's preference to engage one vendor but is open to splitting the resulting RFQ into 2x separate tenders, dependent on this RFI.

Devices must meet the following:

1- 5x MFDs with the following features:

• PaperCut Hive Support
• 40ppm or greater
• A3/A4 Support
• Finisher with stapling and hole punch
• Incl. swipe card reader

2- 1x Large wide Format Printer:

• PaperCut Hive Support

         If no PaperCut Hive supported devices available, a comparative cloud (SaaS) Swipe to Print solution to support restricted and auditable printing to the wide format printer     (Entra AD support req)

• Minimum A1 paper size
• Optional: Wide Format Lamination device

3- 5yr maintenance and services, including consumables (other than paper) indicative pricing

• This will assist panel members in setting realistic budget expectations for the subsequent RFQ

The users and their needs

• Small to medium sized office of ~170 users, utilising 3x 40ppm MFDs.

Work already done

• PaperCut Hive is our SaaS managed print solution and is managed as a separate service/contract.

Technical/business constraints

• Card Scanner and Papercut Hive support are required to meet current Swipe to Print solution.
• Caveat: OPH Panel members are aware that wide format swipe to print solutions are limited in the market

Key dates/ milestones

• RFI to run for 2 weeks, Review (1-2 weeks), subsequent RFQ run for 2 weeks. Contract review and finalisation (1-2 weeks). Expected Contract KO by 1 November.
