Tender Description

The provision of design, curatorial, and exhibition management services for the delivery of the 2026 SHAPE exhibition to be held at the University of Technology Sydney.

Project goals

The primary objectives to be delivered by the supplier are as follows:

Provide comprehensive exhibition design and curatorial services, ensuring that all design elements are appropriately aligned with the spatial layout and functional requirements of the UTS exhibition venue.

Proactively identify and resolve issues related to the design, fabrication, or installation of the SHAPE exhibition, ensuring minimal disruption to project timelines and quality outcomes.

Plan, coordinate, and manage the exhibition build, ensuring delivery is completed within the agreed project schedule and in full compliance with the approved specifications and scope of work.

Oversee and administer subcontractor agreements and workflows (where subcontractors are engaged), ensuring that all parties meet performance expectations, adhere to compliance obligations, and maintain the required quality standards.

Manage stakeholder relationships, including those with subcontractors, students, and NESA’s Events and Engagement team, to ensure effective communication, collaboration, and high-quality service delivery throughout the duration of the project.

Scope

The scope of this RFQ encompasses the engagement of a suitably qualified and experienced supplier to provide design, curatorial, and exhibition management services for the successful delivery of the 2026 SHAPE exhibition. The exhibition will showcase a selection of outstanding major projects from the subject areas of Design and Technology, Industrial Technology, and Textiles and Design, which were undertaken and submitted by 2025 Higher School Certificate (HSC) students in New South Wales.

A total of up to 55 major projects will be presented as part of the exhibition, comprising approximately 40 physical projects and 15 multimedia-based projects. These projects vary considerably in terms of size, materials, portability, and fragility, and must be managed, transported, and installed with appropriate handling procedures to mitigate the risk of damage.

The SHAPE exhibition is scheduled to be delivered at the University of Technology Sydney (UTS), Broadway campus. The exhibition will be open to the public from 16 March to 11 April 2026 (inclusive). Bump-in is scheduled to occur from 12 to 15 March 2026, and bump-out is scheduled from 5pm on 11 April to 12 pm on 13 April 2026.
