The Hills Shire Council is currently seeking appropriately qualified and experienced respondents for the provision of services outlined in the specifications. 

The Hills Shire Council wishes to engage the services of a suitably qualified and experienced Contractor to provide secure off-site commercial document destruction services in compliance with Local Government statutory requirements.

Council would like to engage a contractor for the length of one (1) year with the potential to extend for a further one (1) + one (1) years based on performance expectations. The contractor will be required to service our main site at 3 Columbia Court, Norwest on a regular basis – either weekly or fortnightly depending on cost. Other service locations may be required ad-hoc at any of Council service locations including our libraries, childcare centres, community facilities, or Fleet Workshop currently located in the suburbs of Dural, Castle Hill, West Pennant Hills, Dural, Winston Hills and Baulkham Hills.

Scope of Work

Provide a secure and regularly scheduled service, but not limited to the following:

• A quantity of minimum of 3 x 240L containers to be collected and transported securely on a minimum weekly basis to a secure destruction centre from 3 Columbia Court, Norwest.

• These records are to be destroyed quickly and effectively so that the content of records cannot be read, extracted or re-constructed from the resulting waste.

• A certificate of destruction is required once the process has been completed.

• Contractor shall invoice on a monthly basis.

• Destruction services should be done in line with statutory requirements under the State Records Act 1998 (NSW).

• Add additional bins, if needed, during the contract period at the same contract rate. Additionally, the contractor shall remove bins if required by Council.

• Offer the ability to add additional service calls beyond the schedule service dates.

• Provide 2 master keys for onsite use.

• Provide ad hoc service to other Council locations at any of our libraries, childcare centres, community facilities, and/or Fleet Workshop in the local government area – primarily located in the suburbs of Dural, Castle Hill, West Pennant Hills, Dural, Winston Hills and Baulkham Hills

• Provide additional destruction services on request to securely destroy uniforms, microfiche, plastic library cards and other materials as required.
