Summary of Requirements

Background

The NIAA aims to explore the potential of Generative AI technologies to support internal use cases and enhance operational efficiency. Generative AI has demonstrated considerable promise in areas such as content creation, document summarisation, information searching, and automation. Recognising the importance of leveraging these technological advancements, the Agency is initiating a program to engage external expertise to evaluate Generative AI’s potential within our operations. As part of this initiative, the Agency plans to kick off its AI journey through trialing M365 Copilot within its own cloud tenancy or through the whole-of-government GovTeams official Copilot features.

Key Deliverables

1. Co-design AI Adoption Program

• Collaborate with key stakeholders within the Agency to co-design the AI adoption program.
• Draft a comprehensive program plan.
• Identify the AI vision for the Agency.
• Develop a detailed roadmap for the AI adoption journey.
• Provide a thorough implementation plan for the first phase.

2. Pilot Projects

• Facilitate pilot projects to explore internal use cases and trial M365 Copilot technology.
• Embed AI tools in business processes to reduce manual steps and find efficiency gains.
• Build an understanding of the Agency's needs and how AI technology can support business improvements.
• Record key findings and make recommendations to inform the AI strategy and implementation roadmap.

3. AI Trial

• Assist the AI trial within the Agency to seek opportunities in leveraging Copilot capabilities for immediate productivity gains.
• Support the AI champion network discussion and peer learning.

4. Data Readiness

• Conduct a data readiness review.
• Produce recommendations on necessary changes to manage data effectively in preparation for AI technology.
• Implement necessary controls to ensure effective data management and prevent security and privacy issues during AI adoption.

5. Data Policy

• Assist in refining the draft data governance framework and data management policy.
• Establish clear guidelines for managing data used in AI technology.

6. Change Management

• Develop a change management program to embed AI practices.
• Improve AI literacy among all staff.
• Raise awareness of AI capabilities and associated risks.

7. Development Plan

• Create a comprehensive development plan for the ICT, Data, and Systems branch.
• Facilitate ongoing exploration, adoption, and maturity in AI technology.
