Must-have features
This project seeks to introduce cloud-based safety management software allowing for end-to-end management of safety actions that includes the following essential features:
• Incidents, injuries, hazard and near miss reporting: Mobile-friendly reporting, including the ability to include photos, videos and would be nice if it did have voice-to-text.
• Injury and claims management modules: Comprehensive tools to support the tracking and processing of claims, would also be nice but not necessary if it included a feature for PIAWE calculations and the creation and management of tailored Return to Work plans.
• Corrective action monitoring: Real-time tracking of corrective measures to ensure timely resolution and accountability
• Risk management: Tools to identify, assess, and mitigate risks effectively, with the ability to generate comprehensive risk profiles for different areas of council.
• Reporting: Standard templates and customisable user reports to support data driven decision making and regulatory compliance.
• WHSMS document control: Streamlined management of SWI’s, SWMS, SOP’s and risk assessments to ensure document version control and accessibility.
• Auditing and inspections: Digital tool to plan, execute, and track audit and inspections processes, ensuring visibility of outcomes and follow-ups; and
• Contractor management: Compliance tracking for contractors including induction processes.
Nice-to-have features
The following features, while beneficial, are not critical to the initial implementation:
• Safety alerts: Customisable alert system to notify relevant parties of critical safety issues or updates in real time.
• Emergency management: Manage drills and training to ensure readiness for emergency scenarios.
• Training management: Tracking staff certifications, automated reminders to schedule refresher courses. (This will need to be discussed with HR and OD as to what the new Payroll/HR system is capable of to avoid duplication)
• Chemical and asbestos register management: Centralised system for tracking and updating hazardous materials information, including SDS management, ensuring accessibility for audits and compliance checks.
• Permits to work: Streamlined issuance, tracking, and compliance monitoring to manage high-risk tasks effectively; and
The software will be available via PC, tablets and smartphones, as well as offline modes where internet services are limited. All staff will have access to relevant modules to allow them to utilise immediately at site.
