Invitation to Offer (ITO) QAGOMA 025/2024 Standing Offer Arrangement (SOA) for provision of Audio Visual Equipment and Services

IMPORTANT INFORMATION: A non-mandatory “Site Inspection” only will be held at the Principal’s Site (refer details SOA ITO Part A - sections 1.4 Indicative Timetable, and 1.5 Briefing session and/or Site Inspection) to register by the required date to attend. Attendance is encouraged for Supplier(s) to understand the Site requirements prior to responding to the ITO.

Suppliers are invited by the Queensland Art Gallery Board of Trustees (the Principal) trading as the Queensland Art Gallery | Gallery of Modern Art (QAGOMA) to submit an offer under ITO No. QAGOMA 025/2024 for the establishment of a Standing Offer Arrangement (SOA) for the provision of Audio Visual Equipment and Services at the Principal’s Site at South Brisbane (refer specific details in Item 6 – Customer Site Details of Schedule 1 – Requirements in SOA ITO Part B).

The Principal has issued this ITO with the objectives of:

  • Establishing an SOA with a panel of one (1) or more preferred audio visual Supplier(s) under the SOA to provide an arrangement where its Eligible Customers and External Client(s) can request Supplier(s) provide and operate audio visual and other specified equipment (on a hired basis) with the provision of technical operators for Events and public engagement activities held at the Gallery.
  • The scope of equipment and technical support required (Goods and Services) will include (but not limited to) lighting, audio, projection and staging (ranging from basic to complex) with technical operators to operate the equipment.
    • The equipment and technical operators will be hired in accordance with the specifications of the Event, on a per Event basis.
    • No equipment will be purchased or remain permanently in-built into the Gallery spaces. All equipment will be setup, operated with technical support, packed down and removed by the Supplier for each Event.
  • The successful Supplier(s) will be required to provide the Deliverables (Goods and Services) in accordance with the specifications for each Event, on a per Event basis, for their nominated Event categories (as accepted by the Principal in the SOA)

Events at the Gallery comprise four (4) Event categories:

(a) External Events held at the Gallery by corporate and private Client(s);

(b) Weddings held at the Gallery;

(c) Internal Gallery Events; or

(d) Public engagement activities held at the Gallery
