The Council of the City of Sydney (the City) invites tenders for the provision of Library English Materials in accordance with this Request for Tender.

The City of Sydney's nine libraries (Customs House, Darling Square, Kings Cross, Green Square, Surry Hills, Glebe, Newtown, Ultimo and Waterloo), and two Library Links (Town Hall Express and Pyrmont) are key contributors towards Sydney's vision for a green, global and connected city while maintaining Sydney's local community villages.

The Library offers a large, diverse, contemporary and innovative collection of physical and digital resources. The Library requires the supply and delivery of shelf-ready physical library English materials.

The services to be provided by the contractors under this contract comprise of a mandatory component and an optional component:

1.Acquisition services (mandatory)

1.1.Selection and supply of printed books, audio books, audio visual (DVDS, CDS, etc), and other library materials across all age categories and genres

1.2.Online ordering platform

1.3.Full shelf ready services

1.4.Cataloguing

1.5.End processing

2.Value add services and resources (optional)

Schedule of rates for additional or value-add materials, services and digital resources that support City library operations, services and collection.

Examples may include: Responding to requests from self-published authors, providing annual subscription to online platforms and resources, providing shelf ready book club kits, community engagement through online voting platform of collection items.

This Request for Tender is divided into two parts.

Part 1 Acquisition services is mandatory; Tenderers need to be able to supply the majority of formats, audiences and categories outlined in the Collection summary below and the mandatory Full Shelf Ready Services outlined in Part C RFT Returnable Schedule Attachment B Schedule of rates.

Part 2 Value add services and resources is optional and provides Tenderers the opportunity to present additional materials, services and digital resources that provide value to the City. Items in this schedule will be made available and procured at the City's sole discretion at anytime during the contract period as agreed with the successful Tenderer.

All parts include a schedule of the required materials and services.

Please note:

1.The City intends to award the supply of library materials to one or more tenderers in any of the following formats, audiences or categories at the City's discretion.

2.When bidding, tenderers must bid on all mandatory items for their response to be considered.

3.Any resulting contract will be on a schedule of rates basis.

The City will hold an online public briefing on Thursday 7 March 2024 at 9.30am AEST (maximum 1 hour).

This is an opportunity for potential Tenderers to hear from the City's representatives in Libraries and Learning Team and prior to submitting the RFT. It is strongly recommended bidders attend the briefing, however, attendance at the in-market briefing is NOT compulsory.
