Tender Description

The Shire of Murray is seeking to appoint a Contractor to undertake servicing, maintenance, renewal and installation of its HVAC (Heating, Ventilation and Air Conditioning) assets.

The Principal requires an efficient, professional and qualified Mechanical Services Contractor, with knowledge and experience with Building Management Systems, to carry out the following:

• Audit the existing assets

• Scheduled preventative maintenance of all HVAC equipment

• Chemical cleaning of split systems

• Reactive and warranty maintenance in response to faults/breakdowns

• Replacement, upgrade or Installation of new HVAC equipment in existing buildings, and

• Identification and reporting of defects

The Contractor will be expected to have staff available to respond to any phone calls and emails within 30 minutes during normal business hours (9 am to 5 pm Weekdays) and provide an on-site response service within 48 hours.

The Contractor will be required to provide all labour, plant and equipment, materials, chemicals, transport/cartage, supervision/administrative costs, travelling expenses and anything else necessary to carry out the service required under the proposed Contract. The Principal provides no guarantee as to the volume of work under this Contract.

The existing portfolio includes approximately 160 assets across approximately 40 sites.

Assets include:

• Window/wall box-type units

• Industrial, Toilet and Kitchen exhaust fans

• Wall Mounted Split System air conditioners

• Cassette Split System air conditioners

• Ducted Split Systems

• Package air conditioners

• Aquatic Air Handling Unit

Upon appointment, the Contractor shall conduct a full audit of the HVAC Assets at each location to collect Brand Names, HVAC types, and serial numbers and determine a suitable schedule for the routine maintenance of each Asset. Invoicing for all works must refer to the Asset numbers, building and room names provided by the Principal except in the case of new or unidentified assets, yet to be provided with an asset number.

The Contractor will be the primary installer to replace and install new, additional installations in existing buildings, however the Principal reserves the right to choose another contractor for such works should it be deemed necessary or advantageous to the Principal. Installation of HVAC systems in new buildings, renovations or additions (capital works) does not form part of this contract.

Contractors will be required to liaise with Shire’s tenants and user groups when scheduling and undertaking works. It may be necessary to schedule work at times that are suitable to tenants and user groups.

No site meeting will be arranged for this tender.
