Events Production and Staging Equipment Hire Services

⁠⁠⁠The City of Cockburn (The Principal) is seeking a suitably qualified and experienced contractor for the supply and operation of events equipment and the provision of associated services. The Principal’s calendar of community events currently attracts between several thousand to fifteen thousand (15,000) people. Events are proposed and dates include, but are not limited to:

• Teddy Bears Picnic – 18 October 2023
• Cockburn Christmas – 17 December 2023
• Cockburn Community Concert (x2) – 25 November 2023 and 17 February 2024
• Australia Day – 26 January 2024
• Easter Fair – 30 March 2024

The scope of equipment and services required includes, but is not limited to:

• Audiovisual, public address, and associated technical equipment;
• Stage lighting, special effects lighting, and associated equipment;
• Ground support and stage or mobile or trailer stage and roofing and associated infrastructure;
• Stage and production compounds, including design, area mapping, and drawings for each event;
• Set and lighting design and layout, specifically for each event, construction services;
• Equipment supply/delivery, setup, operation, and removal services; and
• Risk and safety management services.

Services shall be executed to the satisfaction of the Principal’s Representative in strict accordance with any resultant contract (Contract), contract specification (Specification), and contract schedule of rates (Price Schedule), along with any work instruction(s) issued by the Principal’s Representative.

The proposed Contract shall be in force for a period of three (3) years from the date of contract award, with a Principal option to extend the period for up to an additional twelve (12) months after that, to a maximum of four (4) years.
