Project Overview

The existing contract for printing, copying, and maintenance services is due to expire in Q3, 2023. In order to ensure the continued availability of printing, scanning, and copying services the Company is now accepting responses to this Request for Quotation (RFQ) to provide these services.

RFQ overview

The Company will award a five-year contract to a single provider for all requested devices and services. On average the Company produces approximately 45,000 prints per month.

The successful vendor will be contracted to supply all printing and copying hardware; along with a full maintenance/support service for each unit. The preferred print management software is PaperCut. The vendor will be required to provide costs for Company purchased on-premise or cloud-based licences for PaperCut or equivalent print management software. Cloud-based is the preferred option if this capability is available and compatible with the supplied printers.

All proposals should include new (non-refurbished) equipment, that will be network connected, centrally managed, and include specifications for machines that meet or exceed the capabilities of the existing units. The start of the proposed five-year agreement should be during Q3, 2023. Due to space limitations on vessels, an opportunity can be arranged for a site visit to vessels in either Devonport or Geelong.
