Tender Description
The Council of the City of Sydney ("The City" or "The Council") invites tenders for the purposes of completing and supporting the establishment of an enterprise-grade digital asset management system for the Digital Asset Management System (DAMS) project in accordance with this Request for Tender.
Background
The City's current Digital Asset Management System (DAMS) no longer meets our digital asset management needs since it's an on-premise solution with limited Artificial Intelligence/Machine Learning support for populating metadata. In 2020, a staff survey surfaced that it is challenging to locate and manage digital assets in the current system. Over 72% of staff reported that they needed to perform multiple searches to locate the relevant assets.
The City spends a significant amount on professional photography and video production, including what our staff produce each year. These images are used daily by staff from all divisions.
Project Overview
The new Digital Asset Management System project will:
1. Implement a new Digital Asset Management System (DAMS), which will be managed by the Marketing Team and be used by all the City's staff.
2. The City of Sydney expects to achieve the following business outcomes but not limited to:
a. Maintain a single source of truth for digital assets.
b. Manage the risk of inappropriate use by restricting access to certain assets by clearly communicating the licensing and usage conditions.
c. Make quality digital assets available to everyone in the organisation.
d. Liberate useful and valuable digital assets from personal or departmental folders.
e. Make it easy to use digital assets in our everyday work.
f. Support rich metadata schema to allow us to associate assets with internally-important attributes
g. Leverage Artificial Intelligence and Machine Learning to help describe assets and populate metadata.
h. Provide Content Delivery Networks to share and publish assets, including images and video.
