Tender Description
The objective of this project is to digitise all of Central Hawke’s Bay District Council’s (CHBDC) paper property files, of which there are approximately 7000-8000 or 180 lineal metres. These files are currently used on a regular basis, both internally and for ratepayers.
LIMs (Land Information Memorandum’s) are the most common use of the property files. These can be requested by any member of the public, and with our current system it is a manual process for staff to find the property file and collate the information needed for a LIM. Property files viewings are also a popular usage. Members of the public book a time to come and view a property file and a staff member must supervise the viewing to ensure nothing is removed or damaged.
It is important that CHBDC modernise these processes to give the best value for ratepayers and the digitisation of the files will be a large part of this evolution.
