This Tender is invited by the Issuer.
Department of Home Affairs requires the services of several experienced Project Coordinators to work across the Traveller Sub Program, which is working to enhance security at the border.
The services will include and not be limited to:
• Assisting the Program/Project Manager in the management of large projects including:
- Developing and implementing project structures;
- Managing stakeholder relationships, dependencies;
- Undertaking required communication activities;
- Developing program/project plans;
- Expenditure forecasts;
• Ensuring all documents — including minutes, reports and emails — are professionally presented, with correct formatting, spelling, grammar and punctuation and recorded according to the Home Affairs recordkeeping guidelines;
• Managing program/project team travel requirements including seeking an approval from the stakeholder and travel delegate;
• Conducting team meetings and facilitating forums with various stakeholders within an agreed timeframes;
• Contributing to the preparation of a project budget and financial management spreadsheet;
• Maintaining the Configuration Item Records for each project deliverable to help identify, track and protect the project products;
• Applying the principles of the project budget monthly estimates in the management tool;
• Ensuring project expenditure is authorised by an appropriate delegate before contractual agreement and before expenditure;
• Ensuring project team staff timesheets are completed within prescribed timeframes and accurately reflect activity; and
• Ensuring project team members undertake mandatory e-learning within a month of commencement.
Specified Personnel will be expected to transfer skills and knowledge to departmental staff and ensure appropriate documentation is stored in accordance with the Department’s recordkeeping policy and practices.
Specified Personnel will be expected to:
• Produce and provide input into a range of documentation that will be specific to business related outcomes; and
• Maintain accurate documentation in relation to business and technical requirements.
Documentation may include and not be limited to:
• Project Structures;
• Project Plans; and
• Risk Assessments.
