⁠⁠⁠DPS supports the functioning of Australia’s Parliament and the work of parliamentarians through professional services, advice and facilities. We are the proud custodians of Australian Parliament House - the working symbol of Australian democracy and an iconic destination for citizens and international visitors. It is a place where more than 3,500 people work on sitting days, and which nearly a million people visit each year.

As an Executive Assistant to the Chief Technology Officer, you will provide high level administrative support to a Senior Executive at the SES Band 1 level. The role will involve management and maintenance of appointments, regular communications with parliamentary departments, coordination of various Project Board meetings and events, booking travel arrangements and monitoring and responding to incoming communications.

We are looking for enthusiastic and professional individuals with proven experience as an Executive Assistant. To succeed in the role, you will have administrative experience, excellent communication skills and the ability to establish successful working relationships with a range of stakeholders. You will have strong coordination skills, including the ability to meet deadlines and manage work priorities. Your ability to work with the utmost discretion and confidentiality is also essential in this position.

Duty Statement - equivalent to PSL 4

Under general direction, undertake tasks that are of moderate complexity. The role will require a level of discretion with respect to how work is undertaken and will be required to undertake a broad range of administrative support functions.

1. Under general direction, provide high level executive, office management and administrative support services to a DPS branch head including:
a. Management of diary and any travel arrangements;
b. Maintenance of record keeping systems;
c. Management of email correspondence and documents;
d. Coordination of meeting papers and draft responses to routine correspondence;
e. Management of simple procurement and accounts payable processes as required;
f. Coordination of meetings with key stakeholders and groups;
g. Liaison, as required/directed by the Senior Executive, with Members of Parliament and their staff, interdepartmental staff and stakeholders, government and private sector representatives;
h. Assistance with general coordination functions; and
i. Other administrative tasks as required.
