Digitisation Services of Historical Council Records

⁠⁠⁠Fairfield City Council is seeking tenders from organisation(s) that have appropriate certifications, qualifications, capacity, experience and a high standard of capability who can deliver the best value for money in the digitisation services of Council historical records.
Council is seeking tender responses for the full requirements of the required services.

A summary of the requirements include:
* Secure transportation and custody of Council's records from off-site storage provider, or Fairfield City Council Administration Building.
* Provide a purpose-built storage to hold digitised archives boxes for three (3) month period post scanning to allow for 'quality assessment period' during which Council will require samples to be returned for quality checking of digital records before disposal of source paper records.
* Destroy the contents using an accredited destruction service or subcontractor provider, and issue destruction certification.
* Provide details of any external accreditation, (includes subcontractor) quality management systems implemented in scanning and handling sensitive and archival materials.
* Offer urgent file processing (scan on demand) service inclusive to the charges.
* Prepare documents and files before scanning.
* Conduct a comprehensive quality check throughout the entire digitisation process.
* Provide accurate indexing of each electronic document.
* Documents scanned at a minimum of 300 dpi.
* Optical Character Recognition (OCR) is applied to all documents, ensuring the text is searchable within the context of the document.
* Careful post preparation to ensure files are in the same order as they were provided in their respective boxes.
* All scanned images and metadata are to be returned to Fairfield City Council via encrypted hard drive or secure cloud storage portal.

Tender close at 2.30 pm AEST on Wednesday 29 May 2019 and submissions must be received in full prior to this time. Late submissions will not be accepted.
