Tender Description

The Gold Coast 2018 Commonwealth Games Organising Committee (GOLDOC) has a requirement for furniture, fittings and equipment (FF&E), bedding and electrical associated with the delivery of The Commonwealth Games 2018 (GC2018) being conducted on 4th to 15th April 2018.

The scope provides detail of FF&E requirements over dedicated dates and locations. These areas include; competition, training, village and non-competition venues.

Purpose of the Expression of Interest
The purpose of this Expression of Interest (EOI) is to identify a number of suitably qualified and experienced companies who will be invited to submit a tender in relation to the Furniture Fittings & Equipment (FF&E), Bedding and Electrical within GOLDOC’s program timeframes.



Venues

GOLDOC will be responsible for bumping in, transitions, and bump out of FF&E at approximately 40 official Games venues in differing locations across the Gold Coast area, Brisbane, Cairns and Townsville. These locations will comprise of competition venues and non-competition venues including training venues, fleet / bus depots and airports. LOG will provide a Central Logistics Warehouse (CLW), an asset management process and the labour required to handle and assemble items.


Villages

The Commonwealth Games Village (CGV) is located in the Southport Parklands precinct and will provide accommodation and other associated facilities for approximately 6500 athletes and officials; these residents will be accommodated in a variety of buildings including apartments and townhouses. *Note: All quantities held within the EOI are initial estimates only.


Summary of Requirements

The supplier is to provide the following;

i. A catalogue of items,
ii. Product warranty guarantees, including a replacement service for selected items.
iii. Rent or buyback option
iv. Technical specification sheet for items in the catalogue.
v. Detailed instructions on product assembly.
vi. Alternative supply chain for short notice requirements.
vii. Delivery of items.
viii. Prototypes for viewing and testing.
ix. A consistent point of contact.
x. Product assembly training.
xi. Indicative order milestones.
xii. Reporting order milestones.


Supplier Requirements

The Supplier is to provide a catalogue with the following;

i. Description long and short,
ii. Pictures,
iii. Stock Keeping Unit (SKU) codes,
iv. Specification, dimensions, weight, and
v. Item weight bearing.

The catalogue should be web based, and maintained by the Supplier. The FF&E provided to GOLDOC shall meet Australian legal obligations and codes of practice as well as the ‘Australian Furnishings Research and Development Institute’ (ARFDI) standards.

Design Requirements

The overall design of the FF&E supplied must be fit for purpose, attractive, of light weight construction and easily stacked/stored, assembled or reconfigured (where required). Product design for all items should be simple with little to no assembly required. For those items that require assembly, hardware and assembly instructions must be included with the main item packaging.

The quality of FF&E selected for GOLDOC will be decided by cost, taking in consideration that areas within GC2018 are part of a prestigious world-class sporting arena with significant international exposure. The supplier will be required to work collaboratively with GOLDOC to ensure the FF&E solutions meet GOLDOC requirements based on style, functionality and cost. Items must meet all applicable product safety standards. The supplier must provide a technical specification sheet for each item quoted.

The technical specification sheet must include;
i. quantity of items per pallet (assembled and unassembled),
ii. box dimensions,
iii. quantity of items per box,
iv. if the items need assembling (including instructions), and
v. any specific storage, handling and transport requirements associated with the item
