Request for Expression of Interest for Event Management

⁠⁠⁠Regional Development Australia, Orana (RDA Orana) is seeking an Event Planner to organise the third annual Orana Outlook Dinner. RDA Orana will be hosting the dinner to be held at the Royal Flying Doctor Service, Dubbo Hangar, 9R Cooreena Road, Dubbo on Friday evening 2 September 2016.

Scope of work
* Provide an event budget and plan;
* Use of RDA Orana’s database to email or post invitations to approximately 400 contacts for the Orana Outlook Dinner (Save the Date flyer attached - sent out in April 2016);
* Confirm RSVPs for the dinner via telephone and email;
* Organise ticketing and compile attendance list;
* Confirm speakers, including travel and accommodation;
* Have an extensive regional network to enable break even sourcing of sponsorship from stakeholders and corresponding arrangements e.g. payment, placement of banners (if required - TBC);
* Organise marketing collateral for the dinner including design and printing of Orana Outlook booklets, menus, guest speaker profiles and programmes for the evening;
* Catering and hospitality;
* Arrange for hire of seating and tables;
* Arrange agenda for the dinner including timing of guests’ arrival, speeches, delivery of meals and coordinating guest speakers;
* Table arrangements including placement of booklets, menus and seating arrangements;
* Decoration of Hangar;
* Liaison with VIP guests and speakers;
* Arrange bus transport from RFDS (TBC);
* All duties as required to ensure a well-timed, professional and enjoyable event;
* Publicity/media services; and
* Post-event follow-up and closure.

Request for Expression of Interest (EOI)
We request the interested participants to include an outline of the procedure in carrying out the event when submitting the EOI.

Interested participants are to submit the EOI on or before 30 May 2016.
